Special Collections Policies

Special Collection materials are fragile, valuable, and in many cases, irreplaceable. Although the library strives to make access as easy as possible, the Library has taken certain measures to protect these items. Therefore, visitors must anticipate a time delay between requests and access of at least 24 hours. Please contact the Library prior to your visit so that we can make sure that items will be available to you during your anticipated visit.  

Special Collection materials include the Schreiner Collection, Hill Country Collection, Arbuckle-Dobie Collection, Kerr County Historical Commission Archives, and rare books.

Access
To access the Library’s special collections, you must make an appointment. Access is not granted to any individual after 5:00 PM. Only authorized individuals may access and remove items from the archives work room and collections stored in the Scarle-Phillips Room. 

Use
Items from Special Collections cannot be checked out to individuals not employed by the University for any reason. Employee use of materials will be considered on a case-by-case basis. Use of all items is supervised at all times. Room 160 can be reserved for this purpose.

Special Circumstances
If a professor wants to bring a class in to see items in the archives work room, a special appointment can be arranged for the viewing of the room.  If specific items are requested for viewing, these items can be pulled for the professor.  HOWEVER, the students and the professor will not be allowed to open any boxes or remove any items from the room. 

Photocopying
Photocopying is completed by staff only at $.15/page. We will try to complete requests within 48 hours, but additional time may required if the request is large or if multiple requests are received. Additional fees may be assessed for digital scans or for mailing the photocopies.
